Make the next step part of the recruiting pipeline
A stage alone says where a candidate was left. The Next step column says what the team owes them now. Use one row per candidate, write the role explicitly when several searches are open, and replace vague states such as “in process” with a stage that has a clear entry condition.
Use a scorecard before discussing the finalists
The decision matrix starts with Skills fit and Culture fit, but those are placeholders. Replace them with criteria tied to the work: for example, customer discovery, written communication, systems thinking and the ability to run a specific process. Set the criteria before the final interviews and score every finalist against the same evidence. The score supports a decision; it does not make one automatically.
Three candidates reach the final round for one role. The team agrees on four criteria and weights the two that matter most. Interview notes stay attached to each candidate, while the scorecard makes a disagreement visible: one candidate is stronger technically, another has clearer evidence of owning the work end to end. The hiring pulse records the open compensation approval so nobody mistakes a delayed offer for a candidate problem.
Keep the pipeline humane and current
Give every active candidate an owner and a next contact date. Close rejected rows promptly instead of leaving people in limbo. Before an offer, check references, compensation approval, the offer letter and a start date the team can actually support. The template is a planning aid, not a substitute for fair hiring practices, applicable law or secure handling of candidate data.

What stages should a recruiting pipeline use?
Use stages that describe real handoffs or evidence, such as Applied, Screen, Interview, Final round, Offer and Closed. Keep the set short enough that two people would place the same candidate in the same stage.
Is a hiring pipeline the same as a recruiting pipeline?
They usually describe the same flow. Recruiting may emphasise sourcing and first contact, while hiring continues through interviews, offer approval and acceptance. This template covers the whole path and can be renamed to match your team.
What belongs in a candidate scorecard?
Criteria that are observable and relevant to the role, defined before the interview. Use the same criteria for every finalist and keep interview evidence beside the score rather than relying on an overall impression.
