What’s included

The four quadrants are actions, not labels

The value of an Eisenhower matrix is not deciding where a task looks nicest. Each quadrant changes what happens next. Do now gets one small visible action. Schedule gets a real block or date. Delegate gets an owner, expected result and follow-up date. Release gets deleted, declined or archived.

QuadrantTestNext move
Do nowDelay causes a real near-term consequence, and the work matters.Choose the smallest action that changes the situation.
ScheduleThe work matters, but it is not an emergency yet.Protect time before urgency is manufactured.
DelegateThe result is time-sensitive, but another person can own it.Name the result, owner and check-in date.
ReleaseIt serves no current outcome or responsibility.Delete, decline or archive it deliberately.

Judge importance by consequence, not discomfort

Something can feel urgent because another person asked loudly, because it is easy to finish, or because it has been sitting around for months. Ask what changes if it is not done this week and which current outcome it serves. Important work often begins quietly: prevention, planning, relationships and deep work.

Worked example

A client outage belongs in Do now. Preparing next month’s renewal belongs in Schedule. Booking a room for tomorrow can be delegated with a clear confirmation time. Reformatting an old internal document with no reader belongs in Release. The matrix is useful because four items that all felt “pending” now receive four different decisions.

Reset the matrix instead of carrying it forever

Review it weekly. Complete, reschedule, reassign or release each item. If the same task remains in Do now for several reviews, it is probably too large, not truly urgent, or missing a first step. Break it down before adding more priority colour.

How to use this template

  1. Start

Capture the current commitments without sorting them as you type.

  2. Sort

Place each item by real consequence and timing, then challenge the urgent-looking ones.

  3. Move

Give every kept item the action required by its quadrant: do, date, delegate or release.

Frequently asked questions

What is an Eisenhower matrix?

It is a four-quadrant method that separates urgency from importance. The quadrants lead to four actions: do now, schedule, delegate and release.

How do I decide whether a task is important?

Ask which current outcome or responsibility it serves and what meaningful consequence follows if it is not done. Importance is not the same as discomfort, age or how loudly someone asked.

Can I use this Eisenhower matrix template free?

Yes. It opens as an editable HeadTidy map in your browser with no account required. Keep the four quadrants, rename them or add dates and checklists where they help.
